Customer enquiries
When you request a job, we collect your name, email, phone number, postcode, job description, trade requirements, preferred timing and any photos you choose to upload. We use these to review the enquiry, check suitable providers and discuss the next steps with you. Submitting a job does not confirm a booking.
Why we use your information
We rely on taking steps at your request before a contract to handle job and trade-partner enquiries. We rely on our legitimate interests in running and securing the service to review providers, manage access and prevent misuse. Optional photos are supplied with your consent; you can withdraw that consent by contacting Douglas, without affecting earlier use.
Who can see a job?
New requests are held for owner review. Once released, the job description, postcode district, preferred timing and photos can be viewed by signed-in tradespeople whose profiles have been approved for matching trades and coverage. Your name, phone number, email and full postcode remain in the owner area. They are not included in the trade job-board response. We will discuss any further sharing needed to arrange the work with you.
Photos
Photos are optional. The form supports up to three JPG, PNG or WebP images, no more than 5 MB each. The website resizes and re-encodes images before upload, removing embedded location metadata. Images are stored privately and are accessible to the owner and eligible approved providers while the enquiry is open. Please avoid faces, personal documents and other private details. Providers must only use job information to assess and respond to the enquiry.
Trade profiles and responses
Tradespeople sign in with ChatGPT. We receive a site-specific user ID and account email. We also collect the business details, phone number, services, coverage, qualifications and insurance information supplied in the trade profile, plus accept/decline responses. Douglas uses these to check suitability, control access and manage enquiries. Signing in alone does not grant access to customer jobs.
Storage, service providers and security
The website uses OpenAI Sites hosting and sign-in, with Cloudflare database and private file storage. Email enquiries are handled through our business email service. We restrict access to enquiry data, validate uploads and use a necessary security cookie to protect form submissions. Rate limits help prevent misuse. There are no advertising or analytics cookies on this website.
How long we keep information
We keep enquiry and profile information while it is needed to handle the request or relationship, resolve follow-up questions and meet applicable record-keeping duties. We review information for deletion when it is no longer needed. Closing an enquiry removes it and its photos from trade access but does not itself delete the owner's record. Contact Douglas if you would like an enquiry withdrawn or information deleted.
Your choices and rights
You can request access to, correction of or deletion of your information, restrict processing, request portability or object to its use where applicable, by emailing hello@doortoday.co.uk. Include your job reference if you have one. Providing information to discuss and arrange requested services is our purpose for processing it; we also use limited information to secure the service and administer our business. If a concern cannot be resolved with us, you can contact the UK Information Commissioner's Office at ico.org.uk.
